The TrueRecords Privacy Policy does not cover these or similar third-party actions.  It is expressly understood by the user that TrueRecords does not have any control of documents are used by the courts or that be used by the courts or be made public records.

 

When do we collect information?

We collect information from you when you register on our site, place an order, subscribe to a newsletter, respond to a survey, fill out a form, Use Live Chat, Open a Support Ticket or enter information on our site.  Personally identifying information may be collected when you talk on the phone with TrueRecords staff; request information or updates; contact Customer Service; participate in promotions, surveys, forums, content submissions, chats, bulletin boards, discussion groups, webinars; requests for suggestions; or other aspects of services offered by TrueRecords.

2.     How Secure is the Personal Information We Collect?

TrueRecords uses all reasonable means available to protect the confidentiality and confidentiality of our data; but, no system or systems can be 100% secure.  Our website is scanned on a regular basis for security holes and known vulnerabilities in order to make your visit to our site as safe as possible.  We use anti-viral software, and update regularly taking into account our outside vendors and hosting servers. 

TrueRecords creates your reports by running an automated, data mining and analysis process on every applicable line item and transaction from the data that you have provided. This analysis is processed on our secure servers that are behind a firewall.  Once the processing is complete, your reports are uploaded and stored in a secure system so that you can have access to your individual reports.

Your personal reports and report information is stored with a third-party vendor service.  You will need to establish a logon and password to obtain access to your reports.  The storage service we use has received the endorsement of the American Bar Association which finds that this vendors’ standards meets with the confidentiality standards required by lawyers.  And thus TrueRecords is comfortable that those standards meet or exceed any obligations.

We use regular Malware Scanning.

Your personal information is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential. In addition, all sensitive/credit information you supply is encrypted via Secure Socket Layer (SSL) technology.

TRUE RECORDS relies on you, the client to provide complete, legible and accurate information.  If you do not provide complete and accurate information the reports will not reflect an accurate financial picture.  Electronic versions (e.g. statements downloaded directly from a bank account) generally have the best clarity.  We do not accept hand-written financial data. It is your responsibility to ensure that any documents that have been faxed, copied or otherwise previously scanned are still legible (readable) or we may request that you re-submit a cleaner (more legible) copy.   We cannot be held responsible or accountable if you do not provide legible, compete or accurate information, whether purposefully or accidentally. 

 

You are responsible for safeguarding and preventing unauthorized access to the information and password that you use to access the Site, Services and/or Applications (Login Info). You agree not to disclose your Login Info to any third party and you are responsible for any activity using your Login Info to access the Site, Services, or Applications, whether or not you authorized that activity. You must immediately notify TrueRecords of any unauthorized use of your Log in information or any other information you have provided to TrueRecords.

 

3.     Do we use 'cookies'?

Yes. TrueRecords uses a number of internal and third-party methods to recognize visitor data like IP addresses and browser settings (collectively “Visitor Data”). The TrueRecords third party hosting servers and software to automatically recognize Visitor Data. No Personally Identifiable Information is revealed in this process. Information about your computer hardware and software may be automatically collected by TrueRecords.  This information can include: your IP address, browser type, domain names, access times and referring website addresses. This information is used by TrueRecords for the operation of the Site and Services, to maintain the quality of the Services, and to provide general statistics regarding use of the TrueRecords Site. The Site may use Visitor Data to compile traffic data about the types of visitors who use the Site at specific intervals (collectively “Traffic Data”).

 

We may use Traffic Data to analyze Site traffic, but this information is not examined for Personally Identifiable Information. For example, we may inform third parties about the number of registered users, unique visitors, and the pages most frequently visited. Google, as a third-party vendor, uses cookies to serve ads on our site. We may share Personally Identifiable Information and other data with businesses controlling, controlled by, or under common control with TrueRecords.  If TrueRecords is merged, acquired, or sold, or if some or all of our assets or equity are transferred, we may disclose or transfer Personally Identifiable Information and other data in connection with the associated transactions.

 

10.  Bankruptcy.

In the event of a TrueRecords bankruptcy, insolvency, reorganization, receivership, or assignment for the benefit of creditors, or the application of laws or equitable principles affecting creditors’ rights generally, we may not be able to control how your personal information is treated, transferred, or used. If such an event occurs, your Personally Identifiable Information may be treated like any other TrueRecords asset and sold, transferred, or shared with third parties, or used in ways not contemplated or permitted under this Privacy Policy, without notice to you or your consent.

 

11.  California Online Privacy Protection Act.

CalOPPA is the first state law in the nation to require commercial websites and online services to post a privacy policy. ·       Once this privacy policy is created, we will add a link to it on our home page or as a minimum, on the first significant page after entering our website.

·       All TrueRecords clients make changes to their information at anytime by logging into their online account as applicable

·       If you want to remove your Personally Identifiable Information from our Site, you may contact our Customer Service at Admin_TR@TrueRecords.com.  TrueRecords may maintain some or all of this data in its archives even after it has been removed from the Site.

13.  How does our site handle Do Not Track signals?

We don't honor Do Not Track signals and Do Not Track, plant cookies, or use advertising when a Do Not Track (DNT) browser mechanism is in place. We track information to maintain the quality of the services and to provide general statistics regarding use of the True Records Site.

14.  COPPA (Children Online Privacy Protection Act).

When it comes to the collection of personal information from children under the age of 13 years old, the Children's Online Privacy Protection Act (COPPA) puts parents in control. The Federal Trade Commission, United States' consumer protection agency, enforces the COPPA Rule, which spells out what operators of websites and online services must do to protect children's privacy and safety online.

We do not specifically market to children under the age of 13 years old.  We do not knowingly collect Personally Identifiable Information from children under the age of 13 years old.  Minors are not eligible to use this Site or the Applications on this Site and we ask that they do not submit any personal information to us.

 

By using this site you agree that you are over 18 years of age.  If we discover during the course of our work for you that you are under the age of 18, we reserve the right to immediately discontinue working on your project and retaining any funds earned.  We would refund any unearned funds at that time.

 

15.  CAN SPAM Act.

The CAN-SPAM Act is a law that sets the rules for commercial email, establishes requirements for commercial messages, gives recipients the right to have emails stopped from being sent to them, and spells out tough penalties for violations.

In the regular course of our business, we may monitor and record phone conversations, Skype communications, email communications and other electronic communications between you and TrueRecords staff for training and quality assurance purposes.  We may receive a confirmation when you open or click on content in an email from us, which helps us make our communications to you more useful, interesting and meaningful.  If you do not want to receive email from TrueRecords, you may unsubscribe from our mailing list by following the instructions to opt-out on any of the emails we send.

We strive to make certain that our servers and connections incorporate the latest encryption and security devices. We have implemented physical, electronic, and managerial procedures to safeguard and secure the information we collect. Credit card and personal information are transmitted by secure servers.
